How it works

Spotted early. Seen through to the end.

When something at your house needs attention, one of us owns it until it is finished. You decide what is spent. Licensed companies do the work. We handle everything in between, and you hear what happened the same day.

Who does what

Every step has an owner.

In most houses nobody is clearly responsible for noticing, telling the owner, being at the door or keeping the record. At a Vellamore house, those are ours. Two things never are: approving spend above your limit, and doing licensed work.

YouSet the standard
  • Approve anything above the limit agreed for your house
  • Weigh in on what should be done
  • Tell us if the result is not right
VellamoreEverything in between
  • Notice it on the walk
  • Photograph it and tell you the same day
  • Recommend what to do and get the price
  • Be at the door while the work is done
  • Confirm it was done properly
  • Keep it in your house’s record
The tradeDeliver the work
  • Perform the licensed work, under their own license and insurance
  • Price and scope the job
Found to closed

One finding, from identified to closed.

A dripping water heater valve, found on a Tuesday visit. It stays on your note at every step, so you always know what is open and who has it.

  1. Tuesday 8:55 AMFound

Noticed on the walk. The pan under the heater is a third full.

  2. Tuesday 11:11 AMWritten up

In your note the same day, with a photograph and what happens if it waits.

  3. Tuesday afternoonPriced

A plumber from the Register quotes $340, with their name on it.

  4. WednesdayApproved

Above the limit for your house, so it waits for you. You reply yes from wherever you are.

  5. Thursday 9:00 AMDone

The plumber replaces the valve. One of us is at the door and stays until they leave.

  6. ThursdayClosed and kept

Your next note says it closed and who did it. The plumber’s $340 invoice comes to you directly.

Illustrative. The same sequence applies to every finding, large or small.

Spending limit

A spending limit agreed for your house.

We set it with you before the first visit. It lets small, routine items keep moving without a call for every decision, and keeps everything larger in your hands.

Goes ahead

We book it and tell you in the note. Nobody calls you about a $120 gate latch.

Waits for you

The quote reaches you with photographs and the company’s name. No work is booked until you approve it, and the company bills you directly.

Your choice

Prefer to approve everything? Say so, and we book nothing without you. The note still tells you what we found and what it will cost.

The one exception

Water running or the house open. We stop the damage first, then call you from the house.

Meet Vellum

A house should have a memory.

Vellum is the system we keep it in. Every note, photograph, quote and approval, alongside the shut-offs, paint codes, filter sizes, warranties and service history.

Years from now, whoever walks your house will know the guest-wing condenser was replaced, when, and what it cost. It comes with the service, and there is nothing for you to log into.

  • It makes the next visit’s list. Open items come back automatically.
  • It keeps the reasons. What was replaced, who said so, what it cost.
  • It stays when people change. Anyone covering reads the house from it.
  • It never holds your codes. Those stay with one person, in a logged safe.
  • It goes with the keys. If you sell, the new owner receives it.
Storm season

Agreed in writing before the season starts.

Hurricane season runs June to November, and king tides and heavy rain bring flooding through the year. What we are responsible for at your house is settled before it begins, so nothing is decided in a hurry.

  1. Before the season

What we are responsible for at your house, agreed with you and written down.

  2. After a storm

Once access is permitted and it is safe, your house checked against the standard and documented.

  3. Then

Licensed providers brought in for anything more, and each item followed to closed.

Island access after a storm is decided by the authorities, so we do not promise a return time.
